Refund Policy

Clear, fair, and binding standards governing milestone reimbursements, uncommenced sprint deposits, T&M billing audits, and financial claim resolutions.

Commercial Principles & Commitment

At WIATES Technologies, our commercial relationships are established on transparency, technical excellence, and shared accountability. We scope projects meticulously to ensure clear functional milestones before any commercial commitments are finalized.

Because our engineering services involve the allocation of dedicated senior software engineers, solution architects, and design specialists, this Refund Policy outlines the precise circumstances under which deposits, milestone disbursements, and retainer fees may be eligible for refund.

Fixed-Price & Milestone Contracts

For projects governed by milestone-based billing (e.g., Discovery, Architecture Blueprint, MVP Development, Testing, Production Deployment):

  • Uncommenced Milestones: Any advance payments made toward future milestones where no development, architecture, or design work has commenced are 100% refundable upon written project cancellation.
  • Work-in-Progress Milestones: If a project is discontinued mid-milestone, the refund will be calculated on a pro-rata basis: fees for hours expended and deliverables completed up to the date of termination will be deducted, and the remaining unspent portion of the milestone payment will be refunded.
  • Completed & Accepted Milestones: Payments for milestones that have undergone User Acceptance Testing (UAT) and have been formally approved or signed off by the client are non-refundable.

Time & Materials (T&M) & Dedicated Staffing

For engagements billed on an hourly, daily, or sprint-based Time & Materials (T&M) basis, or dedicated staff augmentation:

  • Billed consulting hours that represent verified engineering time delivered by WIATES specialists are non-refundable.
  • Clients maintain the right to inspect weekly automated timesheets, commit histories, and task boards. If a client disputes billed hours, a formal review must be raised within seven (7) business days of invoice receipt.
  • Any verified billing discrepancy or unfulfilled hours will be promptly credited to the client’s account or refunded immediately.

Advance Project Deposits & Discovery Sprints

Initial project onboarding deposits secure our technical team’s availability and compute allocations:

  • Pre-Kickoff Cancellation: If the client requests cancellation in writing prior to the scheduled project kickoff or kickoff workshop, the advance deposit will be refunded in full, less payment processor transaction fees (typically 2.5% to 3.5%).
  • During Discovery Phase: If cancellation occurs during an architectural discovery phase, WIATES will deliver all artifacts, wireframes, and technical specifications produced up to that moment, and refund any unspent balance of the discovery fee.

Non-Refundable Expenses & Third-Party Fees

The following expenditures are non-refundable under all circumstances once incurred by WIATES on the client’s explicit authorization:

  • Direct cloud infrastructure fees (e.g., AWS, GCP, Azure, Vercel, Supabase hosting bills incurred for client environments).
  • Third-party software licenses, commercial fonts, paid APIs (e.g., OpenAI API tokens, Twilio credits, Google Maps platform usage).
  • Expedited domain registrations, SSL certificate purchases, or code signing certificates.
  • Banking transfer charges and international currency conversion spreads imposed by financial institutions.

Refund Claim Submission & Processing Timelines

To file a formal refund inquiry or claim:

  1. Submit a written notice to support@wiates.com detailing the project ID, invoice number, and commercial rationale for the claim.
  2. Our Commercial Review Board evaluates the project task logs, deliverables, and SOW terms within five (5) business days.
  3. Upon approval, refunds are remitted to the client’s original payment method or via direct corporate wire transfer within seven (7) to ten (10) business days.
